Prevent Car Order Substitutions: A China Export Change-Control Checklist

Manufacturer model-family image; the allocated vehicle and exact equipment must be verified separately.

Keep model, trim, battery, drive, colour and allocation changes visible from the first quotation to the final vehicle shipment.

Create a baseline before a VIN exists

Use one dated order specification with complete factory model wording, trim, powertrain, battery reference, drive, seating, preferred colours and required options. Mark which fields are mandatory and which permit alternatives. If a VIN is not allocated, say so explicitly; a provisional sourcing specification is not evidence that a particular car has been reserved. Give every subsequent offer a revision number.

Ask what changed, not whether the replacement is similar

A proposed alternative may keep the badge while changing model year, battery, drive or cabin equipment. Request a side-by-side list showing the original requirement, proposed car and every difference. Link the alternative to its factory sheet and current stock evidence. Similar appearance, the same range label or a shared battery capacity does not establish equivalence. Keep the reason for the substitution separate from the decision to accept it.

Assess the practical consequences

For each difference, record its effect on passenger use, charging, destination support, inspection and the commercial scope. A wheel change may alter the quoted rating or spare-tyre plan; an EREV-to-BEV change alters the energy requirement; a seat-layout change can invalidate the passenger brief. Have the destination importer reassess eligibility where needed. Do not assume a supplier’s statement that an alternative is better answers the buyer’s original requirements.

Record one explicit approval for one revision

Use the agreed private order channel to identify the approved revision, decision owner and date. The supplier should acknowledge which earlier offer it supersedes. Do not infer acceptance from silence or from a general conversation about another car. If the change affects payment, timing or support, obtain the corresponding revised commercial terms for professional review. This checklist organizes the decision; it is not a substitute for the actual agreement.

Reconcile the accepted change downstream

Update the vehicle schedule, inspection instruction and relevant draft documents after approval. When a VIN is allocated or replaced, connect the accepted factory configuration to that VIN and request fresh evidence. Confirm that the final inspection and loading records describe the accepted vehicle. Keep superseded drafts for the private review trail, clearly separated from the current version, so an older model description is not used at shipment.

Buyer questions

Can a better-equipped car be substituted automatically?

No. It may still change charging, service, eligibility, colour or price. Review and record the actual differences.

What if the VIN changes but the specification stays the same?

Update the allocation schedule and obtain vehicle-specific evidence. One car’s inspection does not verify another VIN.

Build an enquiry that can be quoted

Send the complete model and trim, quantity, preferred colours, destination country and port, and the equipment you cannot compromise on. Request an itemized sourcing quotation. Availability, price, warranty and delivered software must be established for the actual order, not inferred from a manufacturer image.

Browse 07 versus 07L example; vehicle allocation timeline; remote inspection photo protocol. Review the agreed inspection scope and shipping scope before shipment.

To turn this comparison into an acceptance record, use the customs clearance and vehicle approval checklist. Have the destination assess the actual vehicle specification and approval route separately from customs release before scheduling road use.
