From Quotation to Allocated VIN: What Car Stock Evidence Should Show

AITO M6 manufacturer model-family reference
Manufacturer model-family image; the allocated vehicle and exact equipment must be verified separately.

Distinguish a model enquiry, a sourcing offer and an allocated vehicle so each buying decision is supported by the right evidence.

A product page identifies the enquiry, not the stock

A manufacturer photograph is useful for recognizing a model family. It does not establish the exact trim, production date, condition or availability of a car offered for export. Treat the product page as the starting specification. Ask the supplier whether the quotation concerns existing stock, a vehicle being sourced or an anticipated factory order, and record that basis in the offer.

A sourcing offer should have a clear identity

Before allocation, keep the factory model, powertrain, trim, battery, drive, seats, colours and required options together. Ask what remains provisional, how long the offer applies and when vehicle allocation is expected. Availability and timing need their own confirmation; a broadly described model is not a reserved VIN. Request the inspection and delivery boundary alongside the vehicle description so a later comparison uses the same scope.

Allocated evidence must connect to one car

When a VIN is assigned, request the agreed factory or vehicle record, production-date evidence, current exterior and cabin photographs, odometer and disclosed registration history. Keep the complete identifier in the private order schedule, not a public blog comment. Ask for a dated record that connects the allocation to the supplier’s offer. Photographs support that connection but do not replace the relevant documents or a vehicle-specific inspection.

Use timestamps to understand changing stock

Stock may change between a quotation, inspection and loading. Record when each piece of evidence was obtained and which VIN it concerns. If a photo is reused, ask what it establishes and whether a newer allocation record is available. A model-family image should remain labelled as illustrative. A supplier’s statement that a car is available should be reconciled with the current allocation and agreed commercial terms.

Treat a replacement VIN as a new physical check

Even an identical factory trim is another vehicle. Update the schedule, request its current condition evidence and apply the inspection scope to the replacement. Carry any approved configuration change into the final documents. Before shipment, reconcile the accepted car with the inspection, odometer, accessories and loading identification. Keep the evidence privately organized so the destination team can find the correct vehicle record on arrival.

Buyer questions

Does a live video prove the complete specification?

It can support identification and show observed features, but the factory record and agreed inspection remain separate checks.

Should I publish my invoice or full VIN schedule in a review?

Keep commercial and vehicle records in the agreed private channel rather than attaching them to a public product discussion.

Build an enquiry that can be quoted

Send the complete model and trim, quantity, preferred colours, destination country and port, and the equipment you cannot compromise on. Request an itemized sourcing quotation. Availability, price, warranty and delivered software must be established for the actual order, not inferred from a manufacturer image.
