Commercial Vehicle Export Handover: Inspection, Manuals and Spares

Commercial Vehicles

Agree what will be handed over before the order is placed. A finished vehicle, a set of model-specific records and a practical support package should all refer to the same chassis, body and supplied equipment.

01Freeze the specification

Keep one agreed version and options schedule.

02Agree the evidence

Define inspection items and acceptance records.

03Prepare support

Identify manuals, spares and responsibilities.

Use a configuration schedule as the reference

List the exact vehicle or chassis code, factory LHD/RHD, engine and emissions package, transmission, wheelbase, brakes, tyres and supplied body. Identify the body builder and equipment models separately. Mark each option as included, excluded or awaiting confirmation so that the scope can be read without referring to sales messages.

Give the schedule a date or revision reference and agree how changes will be recorded. For a batch, identify which units share the same configuration and which differ. A change of engine, body, steering side or equipment can affect parts, manuals, documents and acceptance; it should be reflected throughout the handover pack.

Agree inspection before asking for a final video

Define the checks and evidence to be supplied: vehicle and equipment identities, dimensions, listed options, body finish, applicable mass and axle information, and the agreed functional demonstrations. State who performs or witnesses each check and how unresolved items are recorded.

A short walk-around video can help show condition, but it does not replace the agreed technical records. Ask for labelled photos of the actual unit and relevant nameplates, a checklist linked to the configuration schedule, and records of the specific tests. Use the manufacturers’ procedures for any driving or equipment demonstration.

Match manuals and parts to the delivered build

Request operator and maintenance manuals for the actual chassis, engine and body or auxiliary system, in the agreed language and format. Include the maintenance schedule, fluid specifications and parts identification. Check whether diagnostic access, specialist tools or training are needed locally and whether they are included.

SHACMAN’s user-guide page and parts reference show that manuals and parts support are separate resources. Their availability is a manufacturer reference; it does not establish that a particular destination service provider or support entitlement is included in our offer.

Choose an initial spares package around the duty

Give expected operating hours or mileage, workshop capability and the lead time for local replenishment. Ask for a proposed initial list with part numbers, descriptions, quantities and the applicable unit or component. Separate routine filters and consumables from body-system wear parts and critical replacement items.

Do not use one generic “spares included” line for a mixed fleet. A cargo van, a dump-truck hoist and a refrigeration unit require different parts information. Confirm who supplies each item, how it will be packed and labelled, and how the buyer can reorder against the delivered identity.

Define warranty, arrival and transport responsibilities

Record the responsible parties for chassis, body and working equipment, the agreed warranty terms, claims process and information needed to open a case. Confirm whether commissioning, training and local service arrangements are included. A brand’s global network statement should not be converted into a guarantee of local support without confirmation.

Specify the delivery basis, packing, transport preparation, freight and insurance scope, and excluded destination charges. Agree what the buyer will check on arrival and how transit condition or missing items will be documented. Keep production, inspection and shipping estimates separate and confirm each for the actual order.

Put these items in the enquiry

Questions buyers ask

What should be frozen before inspection?

Agree a revision-controlled configuration schedule identifying vehicle, body, options and exclusions. Inspection should compare against that schedule rather than an earlier sales brochure.

Are photographs a substitute for acceptance checks?

Photographs help document identity and condition, but do not establish all operating functions or document completeness. Define the agreed checks, evidence and responsible reviewer in advance.

Which identities should appear on handover records?

Record the actual vehicle or chassis identity and relevant body, engine and equipment identifiers. Match them to the quotation, packing record and supplied manuals where applicable.

How should loose equipment be accounted for?

List tools, spares, manuals and accessories with quantities and packing location. Identify items removed for transport and give reassembly or arrival-check instructions.

What needs agreement before shipment?

Confirm the release condition, inspection outcome, shipping scope, document list, packing, responsibilities and any unresolved exceptions. Dates remain order-specific commitments on the written schedule.

What should the buyer prepare on arrival?

Arrange the agreed unloading equipment, arrival inspection and any assembly or commissioning assistance. Keep condition evidence and follow the supplied instructions before operational use.
